Many services are delivered with the help of approved third-party providers such as charter airlines, vehicle operators, guides, and lodges.

5. Booking Terms Overview
Detailed booking conditions are provided at the time of quotation and on your invoice or voucher. If anything in your confirmation conflicts with this Legal Notice, your signed booking terms take priority.
5.1 Quotes And Prices

Prices are subject to availability, exchange rates, park fees, taxes, and supplier changes until paid in full.
A quote does not guarantee space. Services are only secured when your deposit is received and we issue written confirmation.
5.2 Deposits And Balance
A non-refundable deposit of [30%] of the total trip cost is required to confirm a booking.

If you book within [45] days of travel, full payment is due at confirmation.
Late or missing payments may lead to cancellation and applicable charges.
5.3 Cancellations And Changes By You
You may cancel in writing at any time. The following charges apply, calculated on receipt of your written notice:

Name or date changes are treated as cancellations and re-bookings if suppliers apply such rules.
Unused services are not refundable.
5.4 Cancellations And Changes By Us
We may cancel or change an itinerary because of safety, weather, water levels, airfield or park closures, wildlife movements, supplier issues, or any event outside our control. We will try to offer a comparable alternative. If we must cancel before departure and cannot provide a reasonable alternative, we will refund amounts paid to us for the cancelled services. We are not responsible for indirect losses or costs such as visas, vaccinations, gear, or connecting travel.
5.5 Third-Party Suppliers
Flights, transfers, activities, and accommodation may be supplied by independent contractors who operate under their own terms. Their conditions, including conditions of carriage for air services, apply in addition to ours. We are not liable for acts or omissions of independent contractors.
6. Travel Requirements
6.1 Passports, Visas, And Health
You are responsible for valid travel documents, visas, entry permits, and health requirements. Check official advice before travel. Some areas may be malarial or have other health risks. Speak to a medical professional for vaccines and prophylaxis.
6.2 Travel Insurance
Comprehensive travel insurance is mandatory for all travellers, including cover for medical expenses, evacuation, cancellation, curtailment, and loss or damage to baggage and personal items. We may request proof of cover before departure.
6.3 Medical Fitness And Special Needs
Safaris take place in remote, outdoor environments. You confirm that you and everyone in your party are fit to participate and will disclose any medical or dietary needs in writing at booking. We will try to assist but cannot guarantee accommodation of every request.
6.4 Minors
Parents or legal guardians must accompany travelers under 18 unless agreed in writing. Age limits may apply for certain activities, air services, or accommodations.
7. Safety, Wildlife, And Conduct
You agree to follow all safety instructions given by guides, pilots, and camp staff. Wildlife areas may have dangerous animals and no perimeter fences. Do not approach or feed animals. Do not litter or remove natural items. Alcohol or drug misuse that endangers safety may result in removal from the trip without refund. Drones may be restricted or prohibited and typically require permits; do not use a drone without written approval.
8. Flights, Luggage, And Weight Limits
Scheduled and charter flights are subject to weather, air traffic, daylight, and runway conditions. Times, routings, and aircraft may change. Strict luggage and personal weight limits may apply on light aircraft, often soft bags only and a maximum of [15–20 kg] per person including hand luggage and camera gear. Dangerous goods are prohibited unless specifically declared and permitted by the airline.
9. Assumption Of Risk And Limitation Of Liability
Adventure travel involves inherent risks, including but not limited to accidents in vehicles or aircraft, encounters with wildlife, uneven terrain, water hazards, extreme weather, remote medical access, and equipment failure. By booking, you accept these risks on your own behalf and on behalf of any minors in your party.
To the fullest extent permitted by law, Ace Safaris, its owners, directors, employees, agents, and contractors are not liable for any loss, damage, injury, illness, death, delay, or expense that arises from your participation in our services, except where caused directly by our proven negligence. In no event will we be liable for indirect or consequential losses, loss of enjoyment, or loss of profit. You agree to indemnify us against claims arising from your own acts or omissions, breach of these terms, or failure to follow safety instructions.
You may be asked to sign a standard indemnity and risk acknowledgment form before participating in activities. Refusal to sign may result in you being unable to take part without refund.
10. Environmental And Park Rules
All guests must comply with park, concession, community, and lodge rules, including speed limits, off-road restrictions, no-fly zones, quiet hours, and cultural site guidelines. Permits and park fees are set by the authorities and may change without notice.
11. Partner Airlines And Operators
Where day trips by air are provided with a partner such as Major Blue Air or any other licensed carrier, carriage is subject to the airline’s conditions of carriage and applicable aviation regulations. The pilot in command has the final say on flight safety, routing, payload, and whether operations can take place.
